- Call to Order
The Board of Directors of the HMS Community School District met in a regular session at Hartley-Melvin-Sanborn High School Media Center, on November 20, 2023 at 6:45 pm - Determine a Quorum
Members Present: Chad Lyman, Scott Vollink, Becky Stoltz, Kyle McCarter, and Kari Van Es
Members Absent: n/a
Others Present: Patrick Carlin, Emily Widvey, Mike Petersen, Kevan Kaiser, Lisa Kaiser, John Hight, Jeremy Niichel, Heidi Douma, Ashley Benz, and Blake Wendt - Adopt Agenda

November 20, 2023
Place: HMS HS Media Center
Emily Widvey administered the oath of office to new board member, Kari Van Es. Ms. Van Es then assumed her role on the Board.
- Call to Order
The Board of Directors of the HMS Community School District held a special board meeting at 6:30 pm at Harley-Melvin-Sanborn High School Media Center led by Patrick Carlin. - Determine a Quorum
Members Present: Scott Vollink, Chad Lyman, Becky Stoltz, Kyle McCarter, Kari Van Es
Members Absent: None
Others Present: Patrick Carlin, Emily Widvey, Kevan Kaiser, Lisa Kaiser, Mike Petersen, Jeremy Niichel, John Hight, Ashley Benz, Heidi Douma, and Blake Wendt - Adopt Agenda
Motioned by: Lyman, Seconded by: McCarter, AYES: All. Motion Carried - Organizational Items
4.1 Election of Board President – Scott Vollink was nominated for Board President.
Motioned by: McCarter, Seconded by: Lyman. Ayes: All. Motion Carried.
4.2 Election of Vice President – Kyle McCarter was nominated for Board Vice President.
Motioned by: Stoltz, Seconded by: Lyman. Ayes: All. Motion Carried.
4.3 Review Board Policies 204 Ethics and 210.7 Rules of Order – Annual policies were reviewed.
4.4 Date and Time of Board Meetings – The current meeting time is the 3rd Monday of the month at 6:30pm. It was determined to continue with this schedule.

4.5 Appoint Board Secretary/Treasurer – Mr. Carlin recommended Emily Widvey continue in this role.

4.6 Appoint the School Attorney – Mr. Carlin recommended that we continue with Ahlers and Cooney.

4.7 Appoint School Newspaper(s) – Mr. Carlin recommended we continue the utilization of both the Hartley Sentinel and Sanborn Pioneer as appropriate.

4.8 Approve Bank Depository Resolution FY2023.2024
Roll Call was taken: McCarter – Aye, Lyman – Aye, Stoltz – Aye, Van Es – Aye, Vollink – Aye
4.9 Appoint Osceola Conference Board Representative – Kyle McCarter currently holds this position. It was recommended he continue the role.

4.10 Appoint O’Brien Conference Board Representative – Becky Stoltz currently holds this position. It was recommended she continue the role.

4.12 Approve Superintendent Community Memberships – Mr. Carlin currently is a member on the Chamber of Commerce for both Hartley & Sanborn, and HEDC (Hartley).
